CHAPTER1EXAMINATIONPROCEDURES
Withintheacademicprocess,itisnecessarytohaveinplaceeffectiveinstrumentsdesignedforverifyingstudentlearning,knowledgeandskill.Theseinstrumentsneedalsotorelatetopredeterminedlearningoutcomesandtocorrespondtoclearlydefinedstagesofachievementintheaccreditationandawardsprocess.
Assessmentisacombinationofsummative(module,semester,course,endofyear)andformativeexaminations.
Anexaminationisanassessmenttoolthatgivesthecandidatetheopportunitytoattemptoneormorepre-setacademictasksinanapprovedandsupervisedsettingwithinapre-specifiedtimeframe.Anexaminationmaycompriseoneormoreelementsfromtherangeofinstrumentsofevaluationandassessmentavailable,suchaswritten,practical,computer-based,oralandauralexaminations,vivavoce,(studio)presentations,demonstrationsandportfolio.Auxiliarymaterials(e.g.open-book,dictionary,logtables,calculator)maybespecifiedforanygivenexaminationbytheexaminingboard.
Asummativeexaminationisanexaminationthatwillassessthedegreetowhichpre-setlearningoutcomesofthecourseormodulehavebeenachievedbytheexaminationcandidate.
a)Aformalsummativeexamination(finalexamination)isanexaminationtakenattheendofacourseormodule,whichisusedtomakedecisionsaboutprogressionwithin,andfinalaccreditationfor,academicprogrammes.
b)Aninformalsummativeexamination(continuousassessment)consistsofallotherformsofactivitiesscheduledduringtheacademicyearthatcontributetoastudent’sgrade.
Aformativeexamination(workedexamples,in-classactivities,exercises)isanexaminationdesignedtomonitorandimprovelearning.Themarksforformativeexaminationsdonotnormallyformpartofthefinalassessment.
Anopen-bookexaminationisatypeofexaminationwhereacandidatehasaccesstoreferencematerials,therangeandcontentofwhichisapprovedbytheexaminingboard.
Allexaminationsareadministeredwithinaframeworkofformalwrittenregulationsassetouthereunder.TheseExaminationProceduresshallapplytoallexaminationsleadingtoawards.
1.1ExaminationArrangements
TheRegistrarhasgeneraloverallresponsibilityfortheconductofexaminationswithintheInstituteandshallinparticularensure:
(a)theproperconductofexaminations,includinginvigilation.
(b)theintegrityoftheexaminationbyprotectingthesecurityoftheprocess.
(c)thatallexaminationentriesareproperlyrecorded.
(d)thatallexaminationpapers,includingthenecessaryback-upmaterial,andmarkingschemesarepreparedbyInternalExaminersandforwardedwellinadvancetoExternalExaminersforapprovalandprintedinsufficienttimetoenableotherorganisationalarrangementsassociatedwithholdingtheexaminationstobecarriedoutinanorderlymanner.
(e)thatthestudentsandothersareinformedwellinadvanceoftheofficialexaminationtimetableandotherarrangements.
(f)thatappropriateaccommodationarrangements,includingarrangementsforstudentswithspecialneeds,aremadeforholdingtheexaminations.
(g)thatexaminationanswerscriptsareexaminedbyInternalandExternalexaminersandthattheresultsforeachstudentaremadeavailableformeetingsofBoardsofExaminers.
(h)thataccuraterecordsofcontinuousassessmentsaremaintainedandaremadeavailabletoExternalExaminers.
(i)thatproperarrangementsaremadeforholdingmeetingsofBoardsofExaminers.
(j)timelytransmissionoftheBoardofExaminersrecommendationstoAcademicCouncilorinthecaseofawardsofbodiesotherthanWIT,totheappropriateawardingbody.
(k)appropriatearrangementsaremadetoissueprovisionalresultsofexaminationstoeachstudent.
(l)studentstobemadeawareinadvanceoftheInstitute’sregulationswithregardtoconduct,examinationsandappealprocedures.
1.2RoleandDutiesofInternalExaminers
TheInternalExaminersarenormallymembersoftheInstitute’sacademicteachingstaffandtheirroleanddutiesareasfollows:
(a)toconsultwiththeappropriateExternalExaminer(s)inthedraftingofexaminationpapersbyprovidingtotheExternalExaminer(s),ingoodtimebeforetheprintingofexaminationpapers,typewrittendraftquestionpapers,togetherwithappropriatemarkingschemes.
(b)totakeaccountofallsuggestions,criticisms,deletions,additionsandamendmentsproposedbytheExternalExaminer(s).
(c)tosubmitexaminationpapersandmarkingschemes,asapprovedbytheExternalExaminer(s),totheInstitute.
(d)priortothemeetingoftheBoardofExaminers,toconsultwiththeExternalExaminer(s)andtoagreethegrades/marksproposedtobeawardedtoeachcandidate.
(e)toattendmeetingsoftheBoardofExaminers.
1.3NominationofExternalExaminers
ExternalExaminerswillbeappointedfollowingapprovalbyAcademicCouncil.
1.4RoleofExternalExaminers
TheroleoftheExternalexamineristwofold:
1.tomonitortheacademicstandardsachievedwithinindividualsubjectsandcoursesandtoassuretheircomparabilitytoIrishandInternationalstandards,
2.toensurethattheexaminationprocessisfairandthattheresultsasdeterminedareequitable.
1.5DutiesoftheExternalExaminer
1.5.1ApprovalofExaminationpapersandothermaterials
ItisthedutyofExternalExaminerstoagreethedraftsofallexaminationpapersandmarkingschemeswhereapplicable,beforetheexaminationpapersarefinalised.
TheExternalExaminershallensurethattheexaminationsproperlyreflectthesyllabiandcourseschedules.
ExternalExaminersshalldecide,inconsultationwiththeHeadsofDepartment,inrelationto:
(a)theparticulardraftexaminationpapersandmarkingschemestobeassessedpriortotheexamination.
(b)theparticularmarkedexaminationscripts(s)hewishestoassess
(c)thenatureandcontentofotherassessmentmaterial(s)hewishestoassess,includingcoursework.
TheHeadofDepartmentshallensurethatsuchmaterialisprovidedtotheExternalExamineringoodtime.
WheretheExternalExaminerwishestosuggestamendmentstodraftexaminationpapers(s)hemaydosoontheformprovided.TheInternalExaminershalltakesuchproposedamendmentsintoaccount,andshallnoteactiontaken,ifany.ThiswillberetainedasarecordbytherelevantSchool.
