1.Theletter-head(信头)
Letter-headsincludetheessentialparticularsaboutthewriter---hisnameandpostaladdress,faxnumberande-mailaddress.Goodqualitypaperandaneat,well-balancedletter-headcombinetoenhancetheprestigeofthefirmthatusesthem.
2.ThereferenceandDate(案号和日期)
Mostletter-headsprovideforreferencelettersandnumbers.Whenonefirmwritestoanothereachwillgiveareference,andtheyaremarked`Ourref:
`and`Yourref:
`toavoidconfusion.
Alwaystypethedateinfull,inthelogicalorderofday,month,years,e.g.

Forthedate,eithercardinalnumbers(1.2.3.4.etc.)orordinalnumbers(1st,2nd,3rd,4th,etc.)canbeused,thus:

Thedatecanalsobewrittenafterthemonth,forexample:

Togivethedateinfigures(e.g.12/10/20….)isinbadtaste,anditmayeasilycauseconfusionbecauseinBritainthisdatewouldmean12thOctober,20…,butintheUnitedStatesandsomeothercountriesitwouldmean10thDecember,20…..
3.TheInsideNameandAddress
Thepreferredpositionforthecorrespondent’snameandaddressistheupperleft-handsideofthesheet,threeormoreline-spacingsbelowthelineofthedate,dependingonthelengthoftheletter.
Mr..,Mrs..,Miss..,Ms..,andMessrs,aretheordinarycourtesytitlesusedforaddressingcorrespondents.
Itistheusualpracticetotypetheinsidenameandaddressinblockedparagraphformattheleft-=handmarginoftheletter.Thishelpstogivethetidyappearance.
4.TheSalutation(称呼)
Thesalutationisthecomplimentarygreetingwithwhichthewriteropenshisletter.Theparticularformuseddependsuponthewriter’srelationshipwithiscorrespondent.Tosomeextentitsettlestheformofthecomplimentaryclose;
thetwomustalwaysbeinkeepingwitheachother.
ForordinarybusinesspurposesDearSir(orDearMadamforbothsingleandmarriedwomen)isusedforaddressingoneperson,andDearSirsorGentlemen(orMesdames)foraddressingtwoormore,aswherealetterisaddressedtoafirm.
Thesalutationalwaysappearsonalinebyitself,conventionallythreeline-spacingsbelowtheinsidenameandaddress,andfollowedbyacommaforDearSirsandacolonforGentlemen.
5.TheBodyoftheletter(信文)
Thisisthepartthatreallymatters.Beforeyoubegintowrite,youmustfirstofallconsiderthefollowingtwopoints:
(a)Whatisyouraiminwritingthisletter?
(b)Whatisthebestwaytogoaboutit?
Sincethemainpurposeoftheletteristoconveyamessage,the
lettershouldbewritteninlanguagethatiseasilyunderstood.Thefollowingservesasareminder;
(a)Writesimply,clearly,courteously,grammatically,andtothepoint;
(b)Paragraphcorrectly,confiningeachparagraphtoonetopic;
(c)Avoidstereotypedphrasesandcommercialjargon.
6.TheComplimentaryClose(结尾敬语)
Thecomplimentaryclose,likethesalutation,ispurelyamatterofconventionandapolitewayofendingaletter.Theexpressionusedmustbeappropriatetotheoccasionandbeinkeepingwiththesalutation.
Thefollowingaretheusualmatchesusedinmodernbusinessletters:

Thecomplimentaryclosemustneverbeseparatedfromthesubstanceofaletterbybeingcarriedtoaseparatesheet.Linespacingorwordspacingshouldbere-arrangedonthecomputertokeepitonthesamesheetwiththebodyoftheletterorcarrysomeportionofthelettertothenextsheet.Whenusingcontinuationsheets,alwaystypeaheadingtoshow:
(1)thenumberofthesheet(intheuppercenterofthepage);
(2)thenameofyourcorrespondent(ontheleft-handside);
(3)thedateoftheletter(ontheright-handside);

7.TheSignature(签署)
Thesignatureisthesignednameormarkofthepersonwritingtheletterorthatofthefirmheorsherepresents.Itiswrittenininkimmediatelybelowthecomplimentaryclose.Becauseasignatureisthedistinguishingmarkiftheonewhousesit,thesamestylemustalwaysbeadopted.
Thesignatureaswrittenandthesignatureastypedmustcorrespondexactly.
Alwayssignyourletterbyhand.Neverusearubberstamp.
8.TheAttentionLine(注意事项)
Thephrase’Fortheattentionof…’orsimply’Attention’isusedwherethewriterofaletteraddressedtoanorganizationwishestodirectittoaparticularofficial.Itistypedtwoline-spacingsabovethesalutation,underlinedand,exceptwiththefully-blockedletter-style,centredoverthebodyoftheletter,e.g.

9.TheSubjectLine(事由)
(a)Mainheading(主标题)
Oftenusefulasatime-saveristhepracticeofincludingattheheadofaletterashorttitleannouncingthesubject-matter,especiallywherecorrespondenceisconsiderable.
Theheadingbelongstotheletterandsoistypedtwoline-spacingsbelowthesalutation,underlinedand,exceptwiththefully-blockedletter-style,centredoverthebodyoftheletter.
(b)Paragraphheadings(分标题)
Aparagraphheadingusuallybeginstheparagraphandisoftenfollowedbyafull-stop,whichmightbeusefultomakefuturereferenceeasierortominimizetheriskofpointsbeingoverlooked.However,it’sbettertoconfineeachlettertoonesubjectifpossible.
10.TheReferenceNotation(经办人代号)
Thisnotationistypedtwospacesbelowthetypedsignature,andshowsonlytheinitialsofthetypist.Ifthedictator’snameisnottypedinthesignaturearea,thereferencenotationshowstheinitialsofboththedictatorandthetypist.Thefollowingexamplesareacceptableformsofreferencenotations:
